Job Description

The Protocol Administrative Assistant shall provide MDA protocol support services requirements include, but are not limited to: 1) general protocol office support; 2) Agency event support; and 3) distinguished visitor support. Protocol support provides direct support to the Chief of Staff Directorate (DS), MDA Flag Officers/General Officers, members of the Senior Executive Service (SES), and Program Executives/Directors.

The Protocol Administrative Assistant shall advise the COS Office on military customs and courtesies per the Military Services Regulations required for each event, traditional and formal diplomatic customs, courtesies and etiquette due visiting dignitaries, and both foreign and domestic. Developing briefings, coordinating conferences, meetings, ceremonies and social functions involving federal and state legislative delegations, general officers/flag officers of the United States and foreign nations' military and other civilian high-ranking officials. Maintaining expert knowledge of foreign relations/protocol procedures that apply to military/civilian leaders (foreign and domestic); apply precedential national and international rules, procedures and forms.

Protocol Administrative Assistant (Technical Lead) (1position)

Primary Work Location: Ft. Belvoir, VA

5 years of relevant protocol experience within DOD supporting General Officer//Flag Officers/Senior Executives Service (SES) and /or Garrison, Installation, Base level Commanders OR 8 years of relevant protocol experience within DOD supporting General Officer//Flag Officers/Senior Executives Service (SES) and /or Garrison, Installation, Base level Commanders

Must have:

  • 3 years of experience supervising and providing direction to team members.
  • 5 years of experience in planning, coordinating, executing, and providing logistical support for conferences, meetings, ceremonies, and social functions. Experience and knowledge of military regulations, military customs and courtesies. Experience managing and coordinating government protocol events which may include scheduling venues, parking coordination, transportation, accommodating distinguished visitors, and coordinating audio/video requirements.
  • Expert in Government property regulations and systems.
  • Expert developing employee training programs and strategies including providing on the job training to meet the Agency's mission.
  • Expert developing, maintaining and coordinating administrative and event schedules.
  • Expert developing protocol products such as briefing papers, scripts, invitations, itineraries and other forms of written communication.
  • Expert in Controlled Unclassified Information (CUI), For Official Use Only (FOUO), and Classified information handling programs and procedures.
  • Expert in Microsoft Office products including Outlook, Excel, Word and PowerPoint.
  • Excellent communication skills to include phone, office etiquette, and written skills

Protocol Administrative Assistant - Senior(12 positions)

Primary Work Location: Numerous

Support executive and senior leadership. Shall execute executive administrative functions and implement existing administrative policies, directives, and procedures.

To include:

  • 4 years of experience planning, coordinating, executing, and providing logistical support for conferences, meetings, ceremonies, and social functions
  • 4 years of experience and knowledge of military regulations, military customs and courtesies.
  • 4 years of experience managing and coordinating government protocol events which may include scheduling venues, parking coordination, transportation, accommodating distinguished visitors, and coordinating audio/video requirements.
  • Expert in training and advising junior Protocol administrative assistants on all matters pertaining protocol support provided to the Agency.
  • Expert in government property regulations and systems.
  • Expert developing, maintaining and coordinating administrative and event schedules.
  • Expert developing protocol products such as briefing papers, scripts, invitations, itineraries and other forms of written communication.
  • Expert in Controlled Unclassified Information (CUI), For Official Use Only (FOUO), and Classified information handling programs and procedures.
  • Expert in Microsoft Office products including Outlook, Excel, Word and PowerPoint.
  • Excellent communication skills to include phone, office etiquette, and written skills.

Protocol Administrative Assistant - Junior (5 positions)

Primary Work Location: Numerous

The Protocol Administrative Assistant - Junior shall support executive and senior leadership. Shall execute executive administrative functions and implement existing administrative policies, directives, and procedures.

To include:

  • 2 years of experience planning, coordinating, executing, and providing logistical support for conferences, meetings, ceremonies, and social functions
  • 2 years of experience and knowledge of military regulations, military customs and courtesies.
  • 2 years of experience managing and coordinating government protocol events which may include scheduling venues, parking coordination, transportation, accommodating distinguished visitors, and coordinating audio/video requirements.
  • Proficient in government property regulations and systems.
  • Proficient developing, maintaining and coordinating administrative and event schedules.
  • Proficient developing protocol products such as briefing papers, scripts, invitations, itineraries and other forms of written communication.
  • Proficient in Controlled Unclassified Information (CUI), For Official Use Only (FOUO), and Classified information handling programs and procedures.

Additional Information:

This support covers geographically dispersed on-site locations identified; the National Capital Region (NCR); Dahlgren, VA (DHL); Huntsville, AL (HSV); Fort Greely, AK (FGA); Vandenberg AFB, CA (VAFB) and Colorado Springs, CO (COS).

Job Requirements

Technical Lead:

Minimum degree requirements - BA/BS plus5 years of relevant protocol experience within DOD supporting General Officer//Flag Officers/Senior Executives Service (SES) and /or Garrison, Installation, Base level Commanders OR 8 years of relevant protocol experience within DOD supporting General Officer//Flag Officers/Senior Executives Service (SES) and /or Garrison, Installation, Base level Commanders.

Senior:

HS diploma plus 2 years of completed college courses and 4 years of relevant protocol experience OR 7 years of relevant protocol experience supporting the Federal Government or DOD.

Junior:

HS diploma plus 2 years completed college courses and 2 years of relevant protocol experience OR 4 years of relevant protocol experience supporting the Federal Government or DOD.

Clearance Requirements:

Active Secret, up to TS/SCI

Work Environment This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, scanners, filing cabinets and fax machines.

Physical Demands This is largely a sedentary role mostly sitting; however, some filing may be required . This would require the ability to move files, or boxes with file data, open filing cabinets and bend or stand as necessary, ability to lift up to 40lbs.

Mental Demands: Reading; communicate effectively (verbal and written); maintain emotional control and professionalism.
